Rights management

When making accession books and inventories available online, legally prescribed and thus necessary restrictions on accessibility must be taken into account; data protection, personal rights and copyright law must be observed.
A small ad hoc working group, supported by the Legal Helpdesk von NFDI4Culture, is to develop a ‘decision support aid’ to competently answer any questions that arise, such as: For which acquisition data is the DSGVO relevant? What kind of data affects personal rights? How long do copyright protection periods last, for example for images?
The experience and best practices already available in the partner institutions will of course be incorporated into these considerations.

Information that may not be posted online or may only be posted online at a later date must be individually redacted in the digital facsimiles of the accession books and inventories. This may include, for example, the names of private individuals or contact information.

Heidelberg University Library is currently developing a technical procedure to transfer the rights management to the content in a largely automated way for the dynamic organisation of the presentation of the scans (e.g. image versions that need to be regularly updated due to the individual expiry dates of the protection periods for the redactions).
